Refund, Amendment, Rescheduling & Payment Policy
1. General Terms
1.1 By submitting an application and/or making payment, candidates confirm that they have read, understood, and agreed to this policy in full.
1.2 In accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, candidates expressly request that the service begins immediately upon submission of their application. As such, the statutory 14-day cancellation right may not apply once the booking has been processed.
1.3 All services provided by London Professional Training College (LPTC) are subject to availability and operational capacity.
1.4 A booking shall only be deemed confirmed once full payment has been received and acknowledged by the college.
2. Payment Terms
2.1 Full payment is required at the time of booking in order to secure a place
2.2 LPTC reserves the right to cancel or release any provisional booking where payment has not been received within the specified timeframe.
2.3 Payment confirms acceptance of all applicable policies, procedures, and deadlines.
2.4 All fees are non-transferable unless explicitly agreed in writing by the college.
3. Refund Policy
3.1 Standard Deadline
3.1.1 Candidates may withdraw their booking on or before the standard fee deadline and receive a refund, subject to a £20 administrative fee per subject.
3.1.2 The administrative fee reflects processing, allocation, and administrative costs incurred.
3.2 After the Standard Deadline
3.2.1 No refunds will be issued after the standard fee deadline under any circumstances.
3.2.2 This includes, but is not limited to:
– Illness or medical conditions
– Personal or family circumstances
– Travel or visa issues
– Change of plans or academic decisions
3.2.3 This policy is applied consistently in accordance with the Consumer Rights Act 2015 to ensure fairness and transparency.
4. Rescheduling Policy
4.1 Requests to reschedule must be submitted in writing
4.2 Rescheduling is permitted free of charge if requested on or before the standard fee deadline.
4.3 A rescheduling fee of £20 per subject will apply to any requests made after the standard fee deadline.
4.4 All rescheduling requests are subject to availability and cannot be guaranteed.
4.5 LPTC reserves the right to refuse rescheduling requests where operational constraints apply.
5. UCAS Reference Service
5.1 The UCAS reference service is available only to candidates who have completed the required assessment process with LPTC.
5.2 LPTC will not accept references, drafts, or supporting statements from third parties under any circumstances.
5.3 The UCAS reference is prepared based on:
– Mock examination performance
– Academic evidence provided
– Professional academic judgement
5.4 If a UCAS reference is requested after the standard deadline, the applicable fee at the time of request will apply.
6. UCAS Information Submission Deadline (Critical Requirement)
6.1 Candidates must strictly adhere to all deadlines set by the college for submitting required information, documentation, and responses necessary for the preparation of their UCAS reference
6.2 Required information may include, but is not limited to:
– Completed questionnaire
– Personal statement drafts
– Academic history
– Supporting documentation
6.3 Failure to meet the specified deadlines may result in:
– Delay in processing
– Inability to complete the UCAS reference
– Non-submission of the UCAS reference
6.4 LPTC accepts no responsibility for delays or non-submission resulting from late or incomplete information provided by the candidate.
6.5 No refund will be issued for the UCAS reference service where failure to meet deadlines is attributable to the candidate.
7. Booking Conditions
7.1 Candidates are required to complete their booking at least 7 days prior to their intended test date.
7.2 Late bookings may not be accepted due to timetable and resource constraints.
7.3 LPTC reserves the right to allocate candidates to available sessions where necessary.
8. Amendments
8.1 Requests to amend subject entries or booking details must be submitted in writing.
8.2 Amendments are subject to availability and may incur additional charges depending on timing and administrative impact.
8.3 LPTC reserves the right to refuse amendments where changes are not feasible.
9. Limitation of Liability
9.1 To the extent permitted by law, LPTC shall not be liable for any indirect, incidental, or consequential loss.
9.2 Any liability shall be limited to the total amount paid by the candidate for the relevant service.
9.3 Nothing in this policy limits any liability which cannot be excluded under UK law.
10. Data Protection
10.1 All personal data will be processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
10.2 Personal data will be used solely for the purposes of administering the service and will not be shared without lawful basis.
11. UCAS Reference Disclaimer
11.1 LPTC provides UCAS references based on academic assessment and professional judgement
11.2 LPTC does not guarantee:
– University offers
– Admission outcomes
– UCAS decisions
11.3 All decisions regarding university admissions remain solely at the discretion of universities and UCAS.
12. Final Authority
12.1 LPTC reserves the right to interpret and apply this policy.
12.2 The college reserves the right to amend fees, procedures, and conditions where necessary.
12.3 All decisions made by LPTC in relation to bookings, services, and disputes shall be final.
