What are Secure Downloads?

These are secure live material provided to the Awarding Bodies for pre-release, NEA, or written exams

Types of Secure material (not exhaustive)

Pre-release material to be given to Candidates on specific release date

NEA ‘examination info/material’ to be given to Candidates on specific release date or window

MFL Speaking cards for use in speaking exams during window

Erratum notices to be opened and read / given to candidates on exam date

Audio downloads for listening exams (may also include CD) provided (opened for digitising if CD) up to 24 hours prior to published start time

Live Exam Papers to be downloaded for use in Access Arrangements (eg printing onto coloured paper) on exam date within 60 minutes of published start time

Completed word processed exam papers by relevant AA candidates for printing / secure storage as per JCQ regulations

Who has access?

The Exam Officer Chnoor Saeeb will have access, Ranjitha Rajadurai will also have access where Awarding Body permits multiple persons. In a contingency situation (NEA Co-Ordinator Ranjitha Rajadurai / Head of Centre Feras Abed) Awarding Body will be contacted to provide access.

Process for download

Exam Officer (CS) will access secure material direct from Awarding Body secure site in locked Exam Office for printing to Secure Printer.

Secure Download Log to be completed with item downloaded / time of download and time of permanent deletion (from recycling bin) or secure storage (for audio files)

Secure Location for storage of audio files (and completed AA word processed candidate work) only accessible by Exam Officer (CS) / NEA Co-Ordinator (RR) as contingency on personal password protected login only accessible from school site).

Transportation of Exam day material

All printed secure exam day material will be immediately transported to secure storage in opaque security sealed envelope

Audio downloads will be placed on to secure exam logins for the exam no earlier than one hour before the published start time and device will not be left unattended at any time once it has been logged into the secure login

Deletion of electronic files

Immediate for live exam day exam papers (permanent delete from recycling bin)

Immediately after printing and secure storage for printed AA word processed files – from exam login device used by candidate for exam

Immediately after exam has finished (audio files) from exam login device used by candidates

Hard Copy CD’s returned to secure storage immediately after use and securely destroyed or returned to Awarding Body as applicable 24 hours after the published end time of examination or after exam has been completed by all centre cohort – whichever is the latter.
