UK GDPR and Data Protection Act 2018: The information on this form will be held both electronically and/or as a hard copy for the purposes of student account administration within London PT College and will be destroyed when the student leaves permanently and the student account is closed. Data will not be disclosed to any external party without your express written consent.

  1. Accuracy of Entry Codes:
    It is vital that you provide clear, unambiguous information about the examinations you wish to be entered for.  This means correct unit codes and (where relevant) option details.  This is especially important in subjects with many different options such as Further Mathematics, History and Religious Studies.  Please note – if information supplied by prospective candidates is missing or in any way misleading or ambiguous, the entry will not be accepted.   Suppose you provide us with an entry option code which is valid and unambiguous, but you only discover on the day of the examination, when you are attempting to work through your question paper, that you have provided a code which is incompatible with the topics/themes/subject areas you have actually studied and therefore prepared for. In that case, there is nothing that we will be able to do rectify the situation. Entry fees will NOT be refunded under these circumstances. The deadline for exam code amendments is the same as the entry deadlines.
  2.  UCI and ULN:
    If you have not sat any examinations before in UK, you will not have a UCI or ULN. If you have a UCI and ULN then you can find it on your previous certificates and Statement of Entry. Each examination that you sit will require your Unique Candidate Identifier, as well as the Centre Number. So please take note of the numbers given to you.
    Please note that there will be a charge for amending or adding UCI and ULN after the submission process.
  3. Payment:
    When you register online for your examination(s), we will check your previous examination documentation (where relevant) plus your photographic ID. Once this has been done you will be sent an invoice which you should then use to make payment via bank transfer or online, by the deadline shown on the invoice. The registration will only be confirmed once payment has been received in full.
    Deferred payments or instalments will not be accepted under any circumstances. If additional units or subjects are required after the initial registration of entries, these must be paid for in full (inclusive of any late entry fees where relevant) before the initial entries are amended. Failure to pay by the stated deadline will result in cancellation of entries without further notice.
  4. Refund requests:
    Refunds will NOT be issued in the event of cancellation or failure to turn up for the examination at the correct time under any circumstances. In the event of exceptional circumstances (such as serious illness, hospitalisation, or bereavement, subject to centre approval), we will contact the exam board, and there will be a charge for this process.
  5. Withdrawals:
    For the AQA, Edexcel, and OCR exam boards, you may withdraw from an examination with a full refund (minus a £40 administrative fee per subject withdrawn) by providing written notice to us no later than 14th February for the summer exam series and 10th September for the autumn exam series.
    For the Cambridge International Assessment (CIE) exam boards, you may withdraw with a full refund (minus the same £40 administrative fee per subject) by providing written notice to us no later than 14th February for the summer exam series, 14th August for the autumn exam series and 10th October for the January (IAL) exam series.
    To avoid any doubt, and under any circumstances, refunds are not available after 14th February for the summer exams series and 10th September for the Autumn exams series (14th August for CIE), and 10th October for the January (IAL) exam series. even if applications and payments are made after the deadlines. No refunds are made for withdrawals after these dates or where students are simply absent for an exam.

    By submitting an application, candidates expressly request that exam entry processing begins immediately and acknowledge that, once the exam entry has been submitted to the awarding body, their right to cancel under the Consumer Contracts Regulations 2013 will be lost
  6. Deferrals
    Deferral of examination entries to a future series is not permitted under any circumstances. Examination boards do not offer a deferral option, and therefore the College is unable to provide or facilitate deferrals once an entry has been made.
  7.  Timetable Clashes
    Clashes between examinations taking place solely at London PT College will be resolved by the Examinations Officer. If a candidate registers with us as a private (external) candidate and withholds information from us about examination entries elsewhere which cause a clash, there will be no refund of entry fees at London PT College if the candidate is unable to arrive at the time indicated. It is the responsibility of any prospective private (external) candidates to ascertain the dates of any other examinations and check that they do not clash with the proposed examinations here before applying to us.  A candidate who arrives late for the examination(s) at London PT College due to a clash with other  examination or examination at another school / college will not be guaranteed to be allowed the full time of the examination, and – depending upon how late he or she arrives – risks being marked absent on the official examination attendance register and not being allowed into the examination room at all. Again, in such circumstances there will be no refund of examination entry fees paid. The centre accepts no responsibility for examination timetable clashes arising from entries made at other schools, colleges, or exam centres.

  8. Candidate Responsibility for Examination Entry Accuracy (JCQ-Aligned)
    In accordance with the Joint Council for Qualifications (JCQ) General Regulations for Approved Centres and the Instructions for Conducting Examinations (ICE), candidates are responsible for checking the accuracy of all personal and examination entry details submitted on their behalf. This includes, but is not limited to:
    -Qualification and subject specification
    -Unit, paper and option codes
    -Paper combination codes
    -Tier of entry (where applicable)
    -Unique Candidate Identifier (UCI)
    -Candidate legal name (as shown on official photographic identification)
    -Date of birth
    -Any other data required by the awarding body for examination entry and certification
    The Centre will issue each candidate with a Statement of Entry. Candidates must carefully check all details immediately upon receipt and notify the Centre in writing of any inaccuracies or required amendments.
    All correction requests must be received by the Centre no later than the centre’s published first entry deadline for the relevant examination series.
    Where a candidate fails to identify and report an error by this deadline, the Centre accepts no responsibility for any consequences arising from incorrect entry information, including but not limited to incorrect certification, delayed results, or additional awarding body charges.
    Any amendment requested after the first entry deadline will incur the awarding body’s late entry or amendment fees plus admin fee, which must be paid in full by the candidate prior to processing. Such fees are non-refundable.
    The Centre reserves the right to refuse late amendment requests where awarding body deadlines have passed or where changes are no longer permitted.
  9. What is covered by your examination entry fees?
    When you register as a private candidate at London PT College, you will be entered for the correct Examinations in the name provided on the application form, and we undertake to:
    -Provide you with your Examination Statement of Entry (“timetable”)
    -Solve any timetable clashes for examinations at London PT College.
    -Send you any relevant pre-release material at the earliest possible opportunity
    -Organise all your examinations efficiently
    -Ensure that your scripts are sent by secure delivery methods to the examination boards
    -Provide you with your results on the relevant day(s), plus information on post-results services.
  10. What is NOT covered by your examination entry fees?
    It is NOT our responsibility to recommend textbooks, or to provide you with specifications (“syllabuses”), past papers, mark schemes or examiners’ reports. These can be downloaded from www.aqa.org.uk , www.edexcel.com or www.ocr.org.uk as appropriate
    Please note that, as an external (private) candidate, we are not in a position to comment on your academic progress. In the event that a private candidate misplaces their Statements of Results after we have provided the documentation, we are always prepared to provide the information to any employer, course director or other interested party who may request it, but no references.
  11. Limitation of Liability
    Any liability, damages, or compensation arising from or in connection with examination services provided by London PT College shall in all cases be limited to and shall not exceed the total amount of fees paid by the candidate for the relevant examination entry. The centre shall not be liable for any indirect, consequential, or incidental losses, including but not limited to travel costs, accommodation, or loss of opportunity. No further liability shall be accepted under any circumstances.
  12. Governing Law & Jurisdiction
    These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

  13. Courtesy
    Most people who apply to be private (external) candidates are friendly and polite.  On very rare occasions, we encounter people (in person or on the telephone) who fall short of accepted standards.  All applicants should be aware that no centre is obliged to take on a private (external) candidate and that examination boards will not intervene if a centre refuses to accept an individual as a private (external) candidate.  As with all other examination centres, we reserve the right to refuse to accept a prospective private (external) candidate and we are not obliged to give a reason if we decide not to accept an application.  Our decision whether or not to accept an application from a private (external) candidate is final and non-negotiable.
    Prospective private candidates will be asked to agree that they have read and understood the Terms and Conditions when filling the application form, before payment is accepted and entries are registered.
